FixingLog – Terms of Service
1. Provider and scope
FixingLog is operated by Flowmind Fejlesztő és Tanácsadó Korlátolt Felelősségű Társaság, registered office 2360 Gyál, Kisfaludy utca 53. B. ép., tax number 33143565-1-13, registration number 13-09-249743. Contact and complaints: [email protected]. Website: https://www.fixinglog.com. The platform supports repair and maintenance records for professionals and businesses and reports from their customers. Subscribers use it for business purposes; reporting customers do not need a subscription.
2. Service
The platform manages reports, appointments, journals, photographs, equipment requests and PDF worksheets. FixingLog is not the repair contractor. Ordering, pricing, performance, warranty and complaints about repairs concern the professional and customer. A worksheet summarises recorded information; it is not an invoice, electronic signature, customer acceptance or quality certificate.
3. Account and business declaration
Provide an accurate name, business address, country and business type. A business tax ID and registration number may be supplied where available; their absence does not determine the business type. Hungarian businesses provide their domestic tax number without a separate VAT field. Businesses elsewhere may supply a separate VAT registration identifier. The declaration confirms business/professional use and accurate details; submitting an identifier does not perform an automatic official verification. Account owners protect access links and invite only authorised staff. Google or Apple sign-in, where enabled, still requires profile completion. Business declarations and legal acceptance are recorded with a version and time. Acknowledging the Privacy Notice is not blanket processing or marketing consent.
4. Reports and replies
Public reports reach the professional after email verification and an explicit confirmation button. Reply links are limited to a report, expire and allow one successful reply. A holder can see customer-visible report history and photographs; links must not be shared with unauthorised people. Internal notes are restricted to authorised staff. Closed work stays unchanged: Reopen creates a new linked report.
5. Subscription and fees
The order summary shown before payment specifies the plan, seats, currency, monthly or annual term and amount payable. Subscriptions renew automatically where indicated at checkout. Subscription management and cancellation are available in the account; the effective cancellation and access-end dates are displayed. Check any prorated charges and conditions before approving a plan change. The contractor’s charges to the customer are separate from the FixingLog subscription.
6. Trials, payment failures and referrals
The account shows the trial expiry and any individually granted extension. Access may be restricted after the stated payment-failure grace period. Referral rewards are based on the referrer’s plan: one monthly base fee for an individual plan or 40% of the monthly base fee for a company plan, excluding additional seats. Eligibility follows the referred user’s first successfully paid subscription. Current redemption applies to monthly subscriptions, is not cash, and may be revoked after a refund or reversed payment.
7. Content and access
Upload only information you are entitled to process and share. Avoid unrelated people, identity documents, health information and other sensitive data. Unauthorised access, harmful content, deceptive reports and infringement of others’ rights are prohibited. Serious misuse may result in proportionate restrictions, with reasons communicated where lawful. Subscribers are also responsible for preserving their business records and downloading required documents.
8. Operation, termination and complaints
Internet connectivity and external services are required. Maintenance and provider failures can cause outages; a guaranteed service level requires a separate agreement. Report faults and complaints using the contact email and report reference. Data return and deletion follow the Privacy Notice and processing terms; cancelling a subscription does not immediately delete an account. Mandatory legal rights and liability that cannot lawfully be excluded remain unaffected.
9. Changes, law and language
Material changes are notified in advance, with renewed acceptance where necessary. Previous acceptance versions remain recorded. Hungarian law applies without prejudice to mandatory international and consumer rules. Hungarian and English versions describe the same service. Repair disputes must be addressed to the contractor; complaints about the platform go to its operator.
10. Formation and correction of information
Registration and ordering a paid subscription are separate steps. A sign-in link or external identity provider does not by itself create a payment obligation. Review and correct profile and order information before saving or authorising payment. The subscription covers the selected plan, currency and billing period; payment and activation can be checked in the account. Without a successful result, do not assume the order completed: contact support with the time and reference, without card details. The system records the accepted document version and event time. Notices can be saved and printed. The contract language is the Hungarian or English language displayed; free text entered by a professional is not automatically translated. Individually agreed written provisions may take precedence for the relevant issue, subject to mandatory law.
11. Organisation accounts and staff access
The owner selects roles, checks each invited person’s current authority and withdraws access when it ends. Coordinator and professional roles may permit different operations. Open assignments must be transferred where required before removing a member; historical attribution may remain. Attempting to access another organisation’s information, bypass authorisation or expose shared passwords or reply links is prohibited. Account owners must promptly report suspected unauthorised access. Professionals check recipients of customer emails and PDFs. Internal notes are excluded from customer views, but this does not permit unnecessary, abusive or unlawful personal information to be recorded.
12. Content, images and evidential limits
Upload only information necessary for the job that you are entitled to process. Avoid unnecessary images of people, vehicle plates, documents or access codes. Special-category data, passwords, card details and identity document copies are not needed for repair reporting. Images may be converted, without preserving original bytes. Worksheets summarise the reported need, recorded work, result and events. Closure does not establish customer acceptance, quality or payment. The service does not provide qualified electronic signatures or qualified timestamps. An IP log is not identity certification. Records may be evaluated alongside other evidence in a dispute. The closed PDF remains unchanged; a new linked report does not rewrite its predecessor.
13. Price changes, payments and invoices
Stripe processes payments; Billingo may issue platform subscription invoices. Subscribers provide correct billing name, address, country and tax identification. Repair worksheet PDFs replace neither platform subscription invoices nor professionals’ own invoices. Failed payments, refunds and chargebacks may affect access and referral rewards. Price changes do not retrospectively alter paid periods. A new price may apply to a subsequent period following advance notice and an opportunity to cancel before renewal. Support investigates disputed charges using the particular order; these Terms do not promise unlimited automatic refunds. Discounts require legitimate eligibility; self-referral and abusive duplication are prohibited. The displayed subscription price is defined as the total price including taxes applicable at payment; the order summary and invoice show the actual tax treatment. We may request clarification where registration and checkout billing details differ. Supplying a business identifier does not automatically change Stripe or Billingo tax settings.
14. Restrictions and termination
Access may be restricted after expiry, persistent payment failure, verified abuse or a security event. The reason and remedy are explained unless law or containment temporarily prevents this. Billing recovery pages may remain accessible when job access is restricted. Cancellation does not immediately delete the account and all data. On termination, subscribers may request data provision and return or deletion of processor-held information through support. Requests require verification of authority and consideration of retention duties. Copies already downloaded or delivered by email cannot be deleted from recipients’ devices through the platform. Separately confirmed profile deletion requests permanent termination of the service and processing first closes the linked subscription. This is not an automatic refund procedure and does not affect mandatory rights.
15. Availability and liability
Internet access and a supported browser are required. Maintenance, network and external-provider failures may cause interruptions. No uptime percentage or recovery time is guaranteed without a separate agreement. Report defects with the error reference, feature and time, without secret links. The platform is not an emergency reporting channel. Mandatory law governs liability; liability for intentional harm or other non-excludable matters is not excluded. Professionals remain responsible for their repairs, customer contracts and the professional accuracy of entries. Operator backups do not replace a professional’s own statutory record-keeping obligations.
16. Complaints and mandatory rights
Send platform, subscription or billing complaints to [email protected] with contact details, order/report reference, event and requested remedy. Repair quality or professional charges must be raised with the professional. FixingLog is designed for business subscriptions; that description does not remove mandatory consumer or privacy rights arising from actual legal status. Future consumer subscription sales require separate pre-sale withdrawal and digital-service terms. Attempts to resolve disputes do not restrict recourse to regulators or courts. The processing terms form an annex to this contract; subscribers remain responsible for informing their customers appropriately.
17. Equipment and recurring maintenance
The service supports customer and equipment records and maintenance tasks based on configured intervals and due dates. Subscribers verify settings and arrange the actual visit. A task appearing in the system does not constitute a customer order or completed maintenance. Professionals remain responsible for manufacturer requirements, warranty conditions and deadlines; the platform does not assume manufacturer or installer obligations.
